Knowledge settings¶
Status: Current | Last reviewed: 2026-09-10
Knowledge tools let agents and workflows search your indexed content. Before anyone in your tenant can create one, a tenant admin has to connect the tenant to your Knowledge Sources service on this screen. Until that's done, Knowledge does not appear as a tool type at all.
You need the tenant Admin role. Settings → Tenant Settings is visible only to tenant admins and platform admins — the Manage Configuration permission on its own is not enough, so operators won't see it.
Connect Knowledge¶
- Open Settings → Tenant Settings → Knowledge.
- Turn on Enable Knowledge tools.
- Fill in the connection:
- Knowledge Sources API base URL — the base address of your Knowledge
Sources service, for example
https://pipelines.example.com. Don't include a trailing path; TrueServe appends the per-source path itself. - API token — the bearer token for that service. It's stored encrypted and never shown back to you. The field displays a masked placeholder once a token is saved; leaving it masked keeps the stored token unchanged.
- Knowledge Sources API base URL — the base address of your Knowledge
Sources service, for example
- Select Save settings.
Changes take effect within about a minute — no restart, and no need to re-save existing tools.
What "configured" means¶
Knowledge becomes available only when all three are true: the toggle is on, a base URL is set, and a token is saved. If any one is missing, Knowledge stays hidden everywhere — the Tools Add tool list, the agent and workflow tool pickers, and the inline Knowledge option. Existing Knowledge tools stop being offered to agents too, though the tool rows themselves are untouched and come back as soon as you finish configuring.
Rotating the token or moving the service¶
Paste the new token (or new base URL) and save. Every Knowledge tool — shared and inline — reads these settings live rather than keeping its own copy, so the change applies to all of them at once. There's nothing per-tool to update.
Turning Knowledge off¶
Switch off Enable Knowledge tools and save. Authors immediately stop seeing Knowledge as a tool type and agents stop being offered existing Knowledge tools. Nothing is deleted: your tool rows, sources, and indexed content stay as they are, and re-enabling restores them.
Troubleshooting¶
- Authors still don't see Knowledge: confirm all three parts are set (toggle, base URL, token) and that the author has the tool-management permission. See Knowledge tools.
- Saving is rejected with "Enter a Knowledge Sources API base URL": you can't enable Knowledge without an address. Add it, then save.
- Tools report an authentication failure: the stored token is wrong or expired for that service. Paste a fresh one here — you don't need to touch the tools.
- The Tenant Settings group isn't in your Configuration menu: you don't hold the tenant Admin role. See User roles.
